Privacy Policy

This policy covers all Dune Tools Discord bots: Recruiter, BorrowBot, JobBot, DogBot, and SpiceRunner (collectively, "the Bots"), and the SpiceRunner Public Portal at spicerunner.pxa.network/dashboard.

1. Overview

The Bots are Discord bots that provide community management features for Dune: Awakening guilds, including recruitment voting, item lending, job tracking, server monitoring, and spice haul management. The SpiceRunner Public Portal is a companion website that allows guild members to view SpiceRunner data (leaderboards, run history, stats) by logging in with their Discord account. This policy explains what data the Bots and Portal collect, how it is used, and your rights regarding that data.

2. Data We Collect

When you interact with any of the Bots, the following data may be recorded:

Discord Display Name	Shown alongside records at time of interaction
Discord Guild (Server) ID	Scoping all records to the correct server
Slash command inputs	Details you provide (item names, quantities, run data, vote choices, etc.)
Timestamps	When actions were performed
Admin action log	Record of administrative actions taken via the Bots

When you log in to the SpiceRunner Public Portal via Discord OAuth2, the following additional data is accessed:

Portal session data is stored in an encrypted browser cookie that expires after 12 hours. No portal login data is written to the database.

The Bots and Portal do not collect:

Email addresses or real-world identity information
IP addresses
Message content (the Bots only process slash command interactions)
Data from any source outside of Discord interactions

3. How Data Is Used

Collected data is used solely to:

Provide the bot's features within your Discord server (votes, borrows, jobs, stats, runs)
Display leaderboards and statistics within the server
Allow server administrators to manage and audit records

Data is not sold, shared with third parties, or used for advertising.

4. Data Storage

Data is stored in SQLite databases on a private server controlled by the Bot operator. Data is associated with your Discord User ID and the Guild ID of the server where the interaction occurred.

5. Data Retention

Records are retained for as long as the Bot is active in your server.
When a Bot is removed from a server, that server's data is not automatically deleted. Server administrators may request deletion (see Section 7).

6. Who Has Access

Bot operator — has full access to the databases for maintenance and support.
Server administrators — can view and manage records for their own server via the Bot's admin commands. They cannot access data from other servers.
Regular users — can only view records relevant to them and their server.

7. Your Rights & Data Deletion

You may request deletion of your data at any time:

SpiceRunner: Use /sr deletemydata or /sr ticket
Other bots: Contact a server administrator or the bot operator directly

Upon a valid request, your User ID and all associated records will be removed from the database.

8. Third-Party Services

The Bots run on Discord's platform and are subject to Discord's Privacy Policy. The Bot operator has no control over data Discord itself collects.

9. Changes to This Policy

This policy may be updated from time to time. The "Last updated" date at the top of this document will reflect any changes. Continued use of the Bots after changes are posted constitutes acceptance of the updated policy.
